Guidelines for New Chapters
Being the only recognized Alumni Association of St. Xaviers Collegiate School, Calcutta, ALSOC would be entitled to sponsor Local Branch Committees or Chapters (Local Chapters) as separate Associations, Societies or Bodies (whether registered, incorporated or not).- The objective of the Local Chapters should be similar to that of ALSOC.
- ALSOC shall grant a Certificate of Affiliation to the Local Chapters on their signing a Declaration and paying an annual Affiliation Fee to ALSOC.
- Local Chapters will be required to pay an annual Affiliation Fee to ALSOC of Rs. 1000/- p.a. for those located within the Indian Union and the Rupee equivalent of $ 150/- p.a. for those located outside the Indian Union.
- The name and territorial limits of the Local Chapters shall be approved by the Governing body.
- Local Chapters may frame their own local rules/guidelines keeping the objectives of ALSOC in view and keep ALSOC informed the same. The Governing Body of ALSOC will however have overriding authority.
- All members joining Local Chapters must necessarily be members of ALSOC. The Local Chapters are requested to ensure that the membership guidelines are followed strictly before forwarding membership application forms to Alumnorum Societas. Local Chapters are at their liberty to levy their own annual subscription to meet their own expenditure.
- Local Chapters must send periodic i.e. quarterly reports to ALSOC regarding their activities and their accounts. Audited Annual Accounts shall be submitted by Local Chapters, to ALSOC within three months of the closing of the financial year.
- Bank Accounts of Local Chapters are to be operated by a minimum of two signatories (both of whom must be Executive Committee members).The Governing Body shall give sanction to the Local Chapters for funds to be raised and expended for the purposes of and within the framework of the objectives of the Society and encourage creating surpluses to form corpus funds to keep the body thriving. Besides payment of an annual Affiliation Fee, there should be no other financial connection whatsoever between ALSOC and the Local Chapters and particularly their liabilities, if any. Local Chapters would have liberty to raise funds in any way within the parameters of the constitution of ALSOC. Local Chapters would have financial autonomy.
- The Governing Body shall have the right to appoint Patron(s) of Local Chapters.
- The Governing Body of ALSOC would have the right to nominate two members to be Ex-Officio members of the Branch Committee of each Local Chapter. Such Ex-Officio members would be nominated by the Governing Body of ALSOC at its discretion from time to time and they would be entitled to participate in the affairs of the Local Chapter including its meetings. The Local Chapters should send notices of their meetings to the Ex-Officio members also.
- The Governing Body shall have right to withdraw/suspend/terminate the Certificate of Affiliation at any time without assigning any reasons whatsoever.
- Local Chapters to work under the aegis of ALSOC.
- Members of Local Chapters affiliated to ALSOC can be entitled to participate in the National Federation of Jesuit Alumni Association of India through ALSOC i.e. nominated by ALSOC. They can also become eligible for holding posts in the Federation through ALSOC (on being selected by the Governing Body of ALSOC).
